Webinar/Conference Room Technology Update Project

Old webinar/conference technology

THE PROBLEM

Shown above is the previous webinar and conference technology setup.

The older TV had a short cable to connect to a laptop.  The audio was poor and the screen was far too small for the room, so people would have to crowd around to be seen and heard.

The small screen size also meant people in the room could not see remote staff or meeting participants and it was very difficult to have full participation.

Our well attended public webinars, such as the Oceans Week Series for marine conservation, were challenging to manage, lacking a professional quality in keeping with Pacific Wild’s brand and visuals.

The first purchase was our Logitech Meetup with the Expansion microphone. This solved the sound side of the problem. Today a speaker can be in the farthest point away from the microphone and still be heard clearly while speaking at a normal volume level.

We setup the webcam and microphone with our older TV.  The equipment is working quite well.

Hidden below the conference table is a clamped shelf that houses the power bar, docking station, and microphone cable.  The remote on the table zooms and tilts the camera, and the circular microphone reaches to the centre of the conference room.

Also, we have the choice of mounting the conference camera to the wall or to the table.  Cables are routed with housing to avoid tripping hazards.

A presenter can use their laptop while sharing their screen on the TV.  Staff can now comfortably sit around the table and be seen and heard.

Participants can all easily see the webinar presentation or meeting screen, and remote participants and guests are seen clearly for an inclusive and professional delivery.

Webinar technology upgrade Pacific Wild office Victoria

This past June during Ocean’s Week we hosted two webinars that had over 70 online participants!  We were quite excited but limited to a small office.

Now that we have a one cable solution, it means that staff can focus on their delivery and not the technology.

They can plug in their laptop and connect to the wired web conferencing system.  Sometimes, with wireless technology, online participants would not have the best experience.  They would lose audio or miss a crucial piece of information.

A wired internet connection ensures that when we record the webinar, we won’t miss anything too!

This upgrade means we now have excellent sound and visuals for participants.

Thank you, Bob M., and Brett & the team at Eagle Wing tours for funding this project!
